Project Name: Annual Planning Value Stream

Duration: 18-Nov-2022 - 20-Dec-2023 (options to extend)

Business Unit: Operations

Rotations: Monday-Friday, 8 hrs a day

Location: Copenhagen, Denmark

Description:

General:

  • The AIM Plan run task is a lot about communication and coordination
  • The AIM Plan process involves around 100 people and the task includes a number of actual activities but in a high degree the job is to guide the involved parties through the process
  • The volume of the work varies with a high workload in January and February and to some extend also March
  • Skills: communication (written/oral), excel as a working tool, facilitator,
  • Way We Work process: Plan asset maintenance activities

December:

  • December 1st Create site specific AIM Plans
  • In each site specific AIM Plan, prepare for comments/questions
  • share with Head of Site, Planner/scheduler, OMA/commercial manager, HV Lead, SMEs, Logistics, GMC
  • CC: HEMOS, PELSO, KENKL, Head of Regional Support, Head of Region
  • Prepare AIM Plan workshops in January (see actions in January tasks)

January:

  • Beginning of January - send reminder of deadline for questions/comments to Head of Site, OMA/commercial manager, Planner/scheduler that
  • 15 January - share the comments/questions from the stakeholders with SMEs.
  • Prepare AIM Plan workshops
  • Agree on final agenda w HEMOS, PELSO - to ensure the new initiatives from APVS are take into account
  • Set time slots for the SMEs (last year they jumped in and out)
  • Last year I agreed that Platform manager would only participate in workshops if there were specific questions to their scope. Decide if you want to do this again this year, alternative they have to check in as the other SMEs are asked to do
  • Send new/final invite
  • Inform GITAA to cancel the placeholders
  • Prepare kick-off slides (why are we here, what is next step)
  • Host AIM Plan workshops
  • Consider to arrange for you to be two persons running the workshops - one facilitator, one recording answers/questions
  • Facilitate workshop
  • Record answers to raised questions, new questions and distribute to SMEs after workshop

February:

  • Host AIM Plan workshops (as in January)
  • Consider to arrange for you to be two persons running the workshops - one facilitator, one recording answers/questions
  • Facilitate workshop
  • Record answers to raised questions, new questions and distribute to SMEs after workshop
  • Remind SMEs to update the AIM Plan based on outcome of AIM Plan workshops
  • Coordinate and assist all stakeholders

March:

  • Coordinate finalisation of the AIM Plan, keep involved parties aware
  • Create final version of the AIM Plan and send for approval
  • Each site specific AIM Plan is sent for approval in a DORECO workflow
  • For US sites and UK East Cost sites, Heads of Regions have a wish to also be included in the

Requirements:

-Knowledge of facilitation and excel on a high level.

-Must be an excellent facilitator and experienced in stakeholder management.

-The consultant must be based in Denmark.
