Department description and responsibilities
The Transport and Trade Compliance department supports all transport & trade-related processes for import and export. The team works closely with external customs brokers, logistics partners, and internal departments to ensure accurate and timely handling of customs documentation and procedures.
Project description
This client is looking for temporary administrative support for the Customs department in Hoboken. The focus is on ensuring smooth communication between the client and the external customs broker, managing documentation, and supporting internal processes.
Primary Tasks and responsibilities
• Assist with the preparation of customs documentation and declarations
• Check that all required documents are available and accurate
• Provide correct instructions to the customs broker
• Liaise with freight forwarders, customs brokers, and internal departments
• Monitor and track shipment status and update relevant stakeholders
• Maintain and update internal databases and lists
• Prepare reports and summaries as requested
• Handle general administrative tasks such as managing correspondence and email triage
Technical profile requirements
• Experience with administrative processes in a logistics or customs-related context
• Strong experience in Administrative support in an international environment
• Proficient in MS Office (Excel, SharePoint, Outlook)
• Skilled in document control and email management
Non-Technical profile requirements
• Strong organizational and time management skills • Accurate and structured working style • Proactive attitude and good communication skills • Team player who can also work independently
Methodology/Certification requirements
• No specific certifications required
Language proficiencies
• Fluent in English
Location
• Client site Hoboken – 3 days per week onsite required
• During onboarding (minimum 1 month): 100% onsite presence required
Contract
• Full-time assignment
