Site Adminstrative Coordinator
Position: Fixed-term project contract (CDIC) Location: Bricquebec-en-Cotentin (Normandy), on-site 5 days/week
The Opportunity
The Site Administrative Coordinator supports the Site Manager and the entire site team with all administrative tasks.
They contribute to maintaining a structured and organized site office, apply approved operational and project processes, and enable technical teams to focus on their core activities.
The Site Coordinator maintains an overall view of site processes and resources, identifies low value-added activities, and optimizes operations within their scope of responsibility.
They report hierarchically to the Project Site Manager to whom they are assigned, and functionally to the Head of Construction & Commissioning (C&C) Site Support.
Depending on workload, this role may be combined with that of Site Document Controller and/or Site Logistics Coordinator.
Your Impact
• Collect, organize, and manage progress reports
• Contribute to the creation of presentations (progress, site, project, management)
• Participate in meetings, write and distribute minutes, and follow up on actions
• Carry out or coordinate site onboarding and support new employees
• Monitor timesheets and working hours; maintain history (tables, charts) and share with relevant departments
• Maintain an up-to-date register of the client personnel on site
• Provide reporting support to the site team
• Implement operational processes and contribute to continuous improvement
• Identify and eliminate non-value-added activities
• Maintain records, databases, filing systems, and archives (paper and electronic)
• Perform various general administrative tasks and provide backup during absences or workload peaks
• Organize or coordinate document translation
• Track delivery status
• Manage shipment and receipt of parcels
• Administer housing, site vehicles, and local transportation
• Manage site offices and facilities
• Introduce new arrivals to administrative processes and site routines
• Maintain regular contact (as authorized) with local suppliers and subcontractors (cleaning, security, etc.)
• Monitor office supplies and availability of visitor PPE
• Coordinate travel arrangements for staff and visitors with mobility services and construction/commissioning managers
Your Profile
Education:
Bachelor’s degree (Bac 2 / Bac 3 equivalent) in:
• Administration
• Business Support / Office Management
• Logistics
• Project Management
• QHSE Support
• Operational Support
Experience: 2 to 5 years of experience in one or more of the following areas:
• Site administration
• Project coordination / support
• Site office management
• Logistics and document management
• Support to construction / commissioning / engineering teams
Experience in a construction / energy / EPC / industrial environment is a strong advantage.
Languages:
• French and English: good level required (interaction with international teams, suppliers, and visitors)
• Can be a contract or a perm position open for both
