Primary Tasks and responsibilities
As a Transport Coordinator you are responsible for assisting the Logistics domain within the Procurement organization to secure the supplies to the client's Fleet worldwide and to organize transport for our projects within the EU. Thorough administration, follow up on the planning and coordination with stakeholders are key to success.
Contribute to the Logistic department of the client's supply chain, with:
- Secure supply towards our projects and vessels worldwide
- “On Time - In Full” deliveries of ordered spares, consumables and project equipment, by using multimodal transport (air – sea – road - express)
- Continuous improvement of our Logistic processes
- Ensure the execution of the planning of frequently scheduled transport orders towards long term projects individual transport requests on daily basis
- As you are owner of the transport order, the full responsibility, as there is operational, documentary, and commercial/financial, is yours.
- You manage the assigned orders independently for which you are in daily contact with all parties concerned:
- Work towards the clients values and expectations of your internal client with focus on bringing ‘added value’
- Select the most suitable or new transporter suppliers in consultation with the procurement management, taking into account the quality-, service level and pricing;
- Align all parties involved on planning with respect to the requested delivery dates, planned availability and optimization possibilities;
- Check for and act upon specific and regional custom- and import regulations based on characteristics, the destination and the nature of the product;
- Book the correct transport for dangerous goods, according to their characteristics and directives; as well as preparing all necessary documentation;
- Instruct our transport-partners
- Register and follow-up of shipments in the central computer system Maximo;
- Resolve and register any related complaints; you have a problem-solving attitude towards related transport-orders;
- Ensure follow-up and compliancy to client’s Requisition-to-Pay process for sourcing, contract PO’s and 3- way matching within the system Ivalua;
- Support and liaise with all relevant stakeholders (Fleet ALD/ALO department, Warehouse, Procurement, Operations, Mob/Demob, …) and internal clients (projects and our fleet worldwide), by attending kick-off meeting, End-work-meeting, progress-meetings;
- Implement the client’s safety policy as well as the national and international laws and regulations regarding road-, air- and sea-freights;
- Support in benchmark studies, price studies and price negotiations;
- Identify and report structural problems and systematic reporting of KPIs to the management in weekly team-meetings;
- Answer customs-related questions of sites, agents and/or colleagues;
- Perform any other department related tasks in the absence of colleagues.
Technical profile requirements
- Bachelor’s degree in Logistics Management, Supply Chain Management, or equivalent through experience
- You have minimum 1 years of experience in the logistics world, preferably with multi-modal means of transport (air, road, sea)
- You have proper knowledge of legislation relating road, air or maritime transport
- You have basic knowledge of customs regulations
- Knowledge of regulations on dangerous goods is of added value
- Very good knowledge and experience with the MS Office
Non-Technical profile requirements
- You like administration and are accurate
- Communication with stakeholders by mail and phone
- You strive for structure and planning in an everchanging maritime environment
- You are solution- driven, stress proof and providing service is a second nature
- You are fluent in Dutch and English.
Methodology/Certification requirements
- Bachelor’s degree in Logistics Management, Supply Chain Management, or equivalent through experience
